What is a lead-generation system?
A lead-generation system connects a relevant offer to an enquiry your team can evaluate and act on. It includes discovery, the destination page, capture, qualification, routing and follow-up. Buying traffic or adding a form addresses only part of that system.
Define a useful opportunity before choosing the channel. A quote request from a person outside your service area may count as a form submission, but it may not be a suitable lead. Sales and marketing should agree the difference rather than arguing about it after a campaign launches.
Define qualification in plain language
Qualification should reflect whether the business can help, not simply whether a visitor provided an email address. Use a small set of criteria that a team member can apply consistently.
| Question | Example information | How it helps |
|---|---|---|
| What do they need? | Service or problem | Assign the right specialist |
| Can we serve them? | Location or business type | Check practical fit |
| When is help needed? | Target date | Check availability |
| What happens next? | Quote, consultation or clarification | Choose a useful response |
Some information belongs in a conversation rather than the first form. Ask only for fields you can explain and use. Keep sensitive details out of a general marketing form unless there is a clear, appropriate process for handling them.
Build the path from interest to ownership
Every accepted enquiry needs an owner, a next action and a record. The visitor should receive a clear confirmation, and the team should be able to see whether the handoff happened.
- Match the offer and audience. State the problem, scope and next step clearly.
- Use a relevant destination. Explain enough for a visitor to assess fit.
- Capture useful information. Label fields and make errors understandable.
- Create or update the record. Avoid duplicate contacts where practical.
- Assign responsibility. Route the enquiry and alert a person if assignment fails.
- Record the outcome. Mark whether it was suitable, contacted, booked or closed.
Our CRM connection guide covers the technical handoff, while sales follow-up explains what happens after a person receives the enquiry.
Test failure paths before adding spend
A working confirmation screen does not prove the full journey is reliable. Test missing fields, invalid input, repeated submissions and an unavailable receiving system. Check that errors do not silently discard the enquiry or produce an unearned success message.
Make the form accessible through clear labels, instructions and useful error feedback. The W3C forms tutorial provides guidance on those elements. Keep test records identifiable and remove or archive them through the business’s normal process after verification.
Measure cost and quality using the same definitions
Review lead volume, qualification and later outcomes together. Cheap enquiries can become expensive if the team spends time on people it cannot help. High enquiry cost may still be reasonable for a suitable, profitable engagement, but you need the downstream records to know.
For an illustrative calculation, a campaign spending $1,000 on 20 enquiries has a $50 cost per enquiry. If five meet the qualification definition, cost per qualified enquiry is $200. Do not compare one campaign’s raw enquiries with another’s qualified opportunities and call the result an improvement.
Google Analytics key events can identify important website actions. A website event still needs to be connected to sales records if you want to evaluate suitability, bookings or revenue. Use the measurement guide to define those stages.
What should the setup deliver?
- A written definition of a useful lead.
- A clear offer and working destination.
- Tested forms, notifications and routing.
- An owner and follow-up process.
- A report that separates enquiries from qualified opportunities.
- A handover explaining how to spot and resolve failures.
Maqtrix’s lead-generation setup connects those pieces. If the main problem is an unclear offer, begin with positioning before increasing traffic.
Common questions
Is lead generation only paid advertising?
No. Search, referrals, events, useful content and other channels can generate interest. The capture and follow-up system still needs to work whichever channel creates the enquiry.
Should we respond automatically?
An automatic acknowledgement can confirm receipt. It should not pretend to be a completed human review or make a promise the team cannot fulfil.
